Student Events Guidelines

Student Government and student clubs may hold on-ground/hybrid meetings, rehearsals, and trainings when physical interaction is essential.

SG and student clubs need permission from the Health Center, Dean of Students, and the President, thus declaring agreement to follow the AUBG Campus Policies and the AUBG event safety protocols. The President, Dean of Students, and the Health Center may grant permission to these groups to hold on-ground meetings. 

Immediately after the event, the on-ground event organizers must email a Meeting Safety Protocol to the Health Center

All student meetings which have not received permission must take place online. In case of violation of the above-mentioned policies and protocols, the permission to hold on-ground meetings, rehearsals, and trainings of student groups will be revoked immediately. AUBG may penalize student clubs for violating safety protocols by banning on-ground meetings, rehearsals, and trainings until the end of the hybrid semester.

Student club rehearsals and trainings may happen in the designated spaces of the residence halls e.g. fitness room, piano room (max. capacity of the piano room is one person) and not only on-campus, but also off-campus club members may attend these only after a special permission*. Meetings may not take place in the Residence Halls. In case of violation of the above-mentioned event safety protocols, the permission to hold on-ground rehearsals, and trainings of student groups in the residence halls will be revoked immediately. AUBG may penalize student clubs for violating safety protocols by banning on-ground meetings, rehearsals, and trainings until the end of the hybrid semester. 

Extracurricular events are possible only if granted the special permission* of the Health Center, Dean of Students and AUBG President. The event’s organizer(s) must have protocols in place to prevent the transmission of COVID-19. The Health Center must approve these protocols before the AUBG President and Dean of Students grant permission. In case of violation of the above-mentioned event safety protocols, the permission to hold on-ground events will be revoked immediately. AUBG reserves the right to do unannounced checks of safety protocols during events. AUBG may penalize student clubs for violating safety protocols by banning on-ground events until the end of the hybrid semester.

Important Notes

  • Expect evaluation on a case by case basis due to the specifics of each event; 
  • Consider holding your event in a larger space, e.g. Andrey Delchev Auditorium, to ensure appropriate distancing and to minimize the risk of spreading of the virus; 
  • Face covering is required when rules for social distancing cannot be guaranteed; 
  • Consider taking advantage of the new equipment for the hybrid classes. This would allow you to limit the number of people on the ground and will be useful when you want to invite international guests to participate in your events virtually.
