Special Events and Summer Programs Assistant

The American University in Bulgaria, a leading higher education institution in the country, is looking to hire an Special Events and Summer Programs Assistant. The Special Events and Summer Programs Assistant, has the responsibility for processing paperwork and documentation, event management and serving as a customer service representative for the Conferences and Events Office.

This is a temporary (summer) position. Based in Blagoevgrad.

KEY RESPONSIBILITIES:

  • Prepares and processes paperwork related to planning of conference events such as registration forms, cost estimates, business offers and invoices.
  • Prepares and processes all paperwork related to registration of participants for conference events, including, but not limited to processing of registration forms and visa letters.
  • Assists with the processing and tracking of financial documents and reports.
  • Assists with the planning and executing all programming aspects of summer programs conference and events.
  • Assists and actively participates in all day to day activities of the summer programs.
  • Coordinates inquiries and communication with external vendors and providers for the summer programs and small projects.
  • Assists in the coordination of outside vendors’ responsibilities and services for events, lectures, special visits.
  • Assists in the coordination of different AUBG departments’ involvement in the organization of all summer programs and events.
  • Assists in the coordination of post-event activities.
  • Assists in the maintenance of files and archives (video, audio, photo, electronic, hard-copy) of the Events office’s activities and provides reports for them when necessary thus facilitating the smooth post-event data analysis procedure.
  • Provide logistic support and event management for summer camps and conferences.

 

REQUIREMENTS AND DESIRED QUALIFICATIONS:

  • University degree required
  • Strong English and Bulgarian
  • Communication skills both written and verbal
  • Ability to work independently and in a team
  • Ability to balance responsibilities and work on tight deadlines
