Procurement Specialist

The Procurement Specialist: Builds and maintains relationships with vendors, manages vendor’s evaluation process, manages end-to-end procurement process of products and services in compliance with internal policies and external regulations; coordinates the procurement process among all departments; keeps proper records and documentation of the procurement process. The function supports and assists with the travel arrangements of students, faculty and employees; and backs the mailing and customs clearance. Duties of the Procurement Specialist include, but are not limited to, the following:

Procurement process duties and responsibilities:

  • Researches and finds vendors that offer quality within the budget, monitors and recordS their performance, and servers as their point of contact.
  • Facilitates the process of procurement of merchandise, goods and services according to the Procurement Policy and procedures, including organization and execution of bidding processes.
  • Maintains the record-keeping system for all purchases including the preparation of Procurement Plan and Tender Register.
  • Strictly oversees Procurement Policy and the established procedures within the university and prevents potential violations.
  • Drafts letters, memos and other documents per the Procurement Manager’s request.
  • Covers with the assigned university credit card expenses specified in the Procurement Policy. Prepares monthly accounting report of credit card expenditures.
  • Makes regular customer satisfaction surveys on the services provided by all vendors.

Travel coordination duties and responsibilities:

  • Assist staff, faculty and students with their travel plans and arrangements.
  • Initiates and processes payments of tickets and hotels for students, faculty, and staff.
  • Serves as a liaison between the AUBG Travel Office and the students, faculty, and staff, when needed.


Mail and customs assistance:

  • Assists in the Customs clearance process for personal incoming and outgoing shipments when needed.



  • University degree;
  • Office management experience;
  • Excellent written and verbal English and Bulgarian;
  • Travel agent experience is preferred;
  • Excellent organizational skills; ability to build and foster lasting relationships; ability to work independently and in a team; ability to balance multiple responsibilities and work on tight deadlines; strong communication skills.
