Administrative Assistant Erasmus Office

The American University in Bulgaria, a leading higher education institution in the country, is looking to hire an Administrative Assistant in Erasmus Office. As an Administrative Assistant Erasmus Office, you will support the daily activities and the ongoing projects in the Erasmus Office.

This is a full-time temporary position until September 30, 2023. Based in Blagoevgrad.

THE RESPONSIBILITIES:

  • Assists in the planning, organization, and implementation of the Orientation weeks and all information meetings, training, workshops, exchange and advising sessions, webinars and other events and activities for the incoming and outgoing Erasmus+ students, faculty and staff during the school year and summer 2023.
  • Assists in the organization and implementation of cultural and other events and activities for the incoming and outgoing Erasmus students, faculty, and staff.
  • Helps with the advising of the incoming Erasmus students and assists them with relevant paperwork during the school year and summer 2023.
  • Assists in the organization and implementation of the visits of incoming faculty and staff during the school year and summer 2023.
  • Prepares and updates the information packages for all incoming and outgoing Erasmus+ students (for studies and traineeships), faculty and staff during the school year and summer 2023.
  • Assists in the preparation of all the necessary application documents and information, financial contracts, acceptance letters, and relevant visa and financial documents of the incoming and outgoing Erasmus+ students, faculty and staff during the school year and summer 2023.
  • Assists in the collecting and monitoring during summer 2023 of the necessary documents required for the records of the outgoing faculty, staff and students for studies and traineeships
  • Contacts on a regular basis the outgoing and incoming students (for studies and traineeships) during the school year and especially during summer 2022 via Facebook, email, and WhatsApp and helps them with the related issues and paperwork.

REQUIREMENTS AND DESIRED QUALIFICATIONS:

  • University degree required;
  • Strong English and Bulgarian;
  • Strong commitment to providing excellent customer service;
  • Communication skills both written and verbal;
  • Event management and organizational skills are required for both virtual and in-person events;
  • Ability to work independently and in a team;
  • Ability to balance responsibilities and work on tight deadlines;
  • Experience in career counseling; knowledge of career development theory and application is desired.
